Now Available! Alphanumeric PIN/password to log into myGateway

The rumors are true. As the district is expanding myGateway, one of the exciting changes is the ability to have an alphanumeric PIN. And as the word PIN stands for “Personal Identification Number", it becomes a misnomer in this case so you will likely see the words “PIN/password” to accurately describe it.

With the capability to use both letters and numbers for your myGateway PIN/password, security is increased as well as flexibility in choosing a password that you can remember. PINs/Passwords for myGateway will remain six characters long.

Transcript Requests

Have the student fill out either the 3 part request form or download an application form.

The most important fields are name, address, student signature, other names used, birth date, phone no., student perm # or soc security # and class titles.

If the student requests a rush, it is a 48 hour turn around time from the time the records office receives the request. The $10.00 rush fee must be collected when the request is taken. The records office will either call the student when it is ready or mail the transcript out, which ever the student prefers.

Students are entitled to the first 2 transcripts free. After that there is a $5.00 fee per transcript. If you do not collect this fee, that is fine. The records office will make the determination if one is due and contact the student.

The student must show a picture ID when the request is taken. You will then fill out the bottom right portion of the form under “for office use only”. You will put the date, your initials, ID (IE: SCE card, CDL, passport) and amount paid or 0 for nothing.

All transcripts are sent out official in sealed envelopes.

Registration Roundup - February 27, 2008 Meeting

The following is a list of announcements and other information from the last registration meeting:

Overview of the Learning Center-Vanessa Christian

  • Formerly called the Literacy Lab, the name has been changed to better reflect the services offered.
  • Assist students with assignments, and internet research.
  • Goal is to engage students and provide them with individual attention.
  • Students do not need to be enrolled in classes to use the lab.
  • Students can enroll at any time.

Listening Skills

  • Although it is human nature to pass judgment on people, we need to recognize that by doing this, it inhibits us from giving good customer service.
  • No matter how small the goal may seem, it is important to treat them with the utmost respect.
  • Personalizing the help that you give is important in giving good customer service.

Data Standards Review

  • Staff is reminded that it is critical to be consistent when processing student information.
  • Data standards are available on the district website.
  • Remember to always note the apartment number goes on the same line as the address. When this is not done, the apartment number will not be seen in the envelope window.

Collection of Student Demographic Information

  • Staff is reminded to make sure that the back of the PSR cards are completed. It is important for us to know which students we are serving so that we get funding.

Processing Transcript Requests

  • If we do not have any transcript forms on hand, download one from the website and give it to the student to complete.
  • Make sure that there is a signature on the request. A letter requesting a transcript can also be accepted.
  • Rush fee is always picked up at the time the request is taken. If the student has exceeded the two free transcript allowances, you need to pick up the five dollars for the transcript as well as the rush fee if applicable.
  • It is ok to send a check along with the transcript request via intercampus mail to the Wilshire Records Office.
  • If the student is not sure whether or not they have received the two free transcripts, you can just take the request, and then the appropriate person will call them and tell them that the money is owed.

Google Docs

  • Meeting handouts will be posted on Google Docs.
  • Anaheim has a shared drive where all Anaheim staff can access forms as needed.

WebStar

  • WebStar is now open 24/7!
  • If the student needs to pay with credit card, they will not be able to pay during two time frames (11:50 p.m.-1:30 a.m. nightly and Tuesday mornings from 5:30-6:30 a.m.)
  • Students will get an error message telling them to return to the site at a later time to finish paying for the class.

Processing PSR Cards

  • NO PENCIL, METALLIC INK, or HIGHLIGHTING should be used on (allowed for) PSR cards!
  • Write the student ID number clearly and correctly on the upper right hand corner.
  • Alway make certain the student has completed the demographic information on the back of the PSR card.
  • Have the student sign and date the card-this an audit item!

ESL Classes

  • Everyone needs to be tested before taking ANY ESL class. This includes specialty classes such as Citizenship Preparation.
  • All students need to have their level determined for CASAS.
